Cruise season doesn’t wait for anyone. Ships show up on schedule whether you’re ready or not — and after 25 years in Alaska’s cruise tourism world, I’ve seen the same handful of mistakes trip up operators every single year. The good news? They’re all avoidable.

1. Building your tour calendar too late

Here’s something that surprises a lot of people outside the industry: cruise lines build their schedules 2–3 years in advance. By January 2026, savvy operators had already submitted allocations for 2027 sailings. Operators who wait to submit their tour allocations on the very last day are perpetually behind. The calendar work starts much earlier than most people think.

2. Treating allocation management as an afterthought

When you’re juggling multiple ships and cruise line partners, it’s easy to lose track of what’s committed versus what’s still available. Without a solid tracking system, you risk overselling tours or leaving revenue on the table. Get your allocation framework in place before the season, not during it.

3. Handling cruise line updates informally

A quick email here, a phone call there — it feels fine until something falls through the cracks. Cruise lines want consistent, reliable communication. Responding within 24 hours to sales reports from cruise line will go a long way toward building (and keeping) that trust.

4. Rebuilding daily ops schedules from scratch every year

If your team starts with a blank spreadsheet each spring, you’re burning time you don’t have — and reintroducing the same errors year after year. A well-built scheduling template, designed once and adapted each season, is one of the highest-ROI investments you can make.

5. Skipping the pre-season readiness check

“We did it last year” isn’t a plan. Staff changes, new cruise line requirements, updated booking platforms — things shift. A quick structured review before the first ship arrives can catch problems when they’re still easy to fix.
